These are the roles that need to be filled by the Akademy & adjacent teams for a good conference.


Event Manager

Oversees the whole Akademy team (Core & Local), manages the tasks in invent, keeps the conference planning on track, makes the meeting agenda, supports the Local and Core teams as needed. Delegates jobs and roles appropriately.

Core Roles:

Volunteer Coordinator

Collaborates with the Venue Coordinator and Event Manager. Recruits, organizes, trains, and manages the Akademy Volunteers. They are responsible for coming up with the shift schedule, tasks, descriptions, and handling related communications.

Collaborates with the Event Manager, KDE Board, and potentially the Fundraising WG. Develops and maintains relationships with Akademy sponsors. Handles communication between Sponsors and the Akademy team, and ensures they get their slides/logos/etc to the team in time for printing.

Venue Coordinator

Collaborates with the Local Team (LT), Event Manager, and Volunteer Coordinator to secure a location that suits the physical and technical requirements of Akademy, & the related social events (welcome, social, day trip, dinners). The venue coordinator is responsible for ensuring the contracts, invoices, etc make it to the KDE e.V. for payment/processing/signing.

Local Team

Local Team consists of multiple members who have connections and access to venues to host Akademy and its attendees. Their job is to secure venue locations, handle any local/in-person meetings, help organize the Akademy team visit to scout locations, come up with ideas for the daytrip, help with setup/teardown, and errands for the event.

Collaboration with other teams

Promo

Promo provides the copy for the blog & social media posts, writes press releases, and schedules posting content around and during akademy to generate interest.

Design

Design provides the Akademy graphics: Sponsorship brochures, Call for Hosts, time signs, Sponsor's logo posters, etc.

Video

Cleans up video from the event and breaks them down by talk for uploading to peertube/youtube.
